This guide shows you how to view the job hierarchy/reporting structure for a role and how to change the manager, which will update the associated employees' manager.
Contents
Overview
You can set up a profile of the posts in your organisation in the Jobs table. Once you've created your job roles, you can build a reporting hierarchy/organisation structure.
| Note: You can also view the hierarchy from the Employee Directory and Org Charts, even though you set it up in the Jobs table. |
To view the job hierarchy
- Go to Job, Pay & Reward > Job and Pay Configuration > Jobs
- You'll see a list of jobs already created
- Locate and click the job you want to view
- Job information sits across three tabs: Details, Notes, Hierarchy
- Click the Hierarchy tab
- You'll see the role's current structure, if it exists
- The job hierarchy shows the post you're viewing, along with any subordinate roles and the role it reports to
- By default, the hierarchy shows as a graphical structure. Use the toggle button to switch between structure and list views
- In list view, the level shows where the role sits in the hierarchy
- In either view, click a job to select it and see its details
|
Note: You may not want a particular role to show on the org chart - for example, casual or volunteer workers. If so, set the slider on Job Details to Hide on Org Charts |
To add, change or remove a manager
|
Tip: To change the manager for a specific employee, it's often quicker to go straight to their record. Find the employee and go to Job, Pay & Reward > Job and Pay, and click View Job (button availability subject to page access). This opens the job in Jobs, where you can click Hierarchy to change the manager. If the employee is changing jobs, their manager will update automatically, so you shouldn't need an additional change if the hierarchy is up to date. You can view who someone reports to in their Personal Details > employment details tab. This will usually be read-only as any changes should be managed via the steps in this section. |
- Click on Change Manager to choose the manager this role will report to
- You'll see a list of roles, which you can filter, sort or group to help you find the right one
- Click the reporting manager role to select it. You'll be asked to confirm - check you've selected the right role, then click Yes
- The manager selection will then be confirmed
- Use the Remove Manager or Change Manager buttons if you need to remove or change the manager later
| Note: Changing a manager here does not update the reviewer on any open (unsigned-off) performance reviews already in progress. To change the reviewer on a specific review, see Talent Management - Change manager reviewer. |
