Check a job’s approval status
- Open the Recruiter Portal
- Navigate to the Jobs in Workflow tab
- Find the relevant job
- Hover over or click the Approver Progress icon (displayed as a blue icon with two people or a green tick if already approved) to view:
- Who currently has the approval action.
- Whether the job has been fully approved or is still awaiting approval.
Correct a job sent to the wrong business unit
The Business Unit selected on a job determines which approval workflow it follows. You can’t change the workflow of a job that’s already in approval. If a job has been submitted to the wrong or a legacy business unit, either:
- Duplicate the existing job, update the business unit to the correct workflow, and then resubmit it for approval
-
Archive the existing job and create a new one using the correct business unit
Update business units and approvers
To update business units and the approvers assigned to each approval stage:
- Log in to the Admin Portal
- Navigate to Users > Recruiters
- Open the relevant recruiter record
- Locate the Approval Workflow Business Units section
- Add or remove the recruiter from the appropriate business units and approval stages as required
This controls which business units a recruiter can approve jobs for, and at which stage.
| Important: These steps change who approves within your existing stages. To change the structure or number of approval stages, contact Ciphr. |
Test your changes
After updating approvers, check that jobs route as expected and run a test job through approval there first. Confirm that the right approvers are notified and that the job moves through each stage correctly.
