This guide explains how Managers and HR Users can record 9 Box Grid ratings to score employees on either their Performance and Potential, and/or Flight Risk and Impact, which is useful information to support Succession Planning.
This feature is only available with the add-on full Talent Management module.

Viewing the 9 box grids - Performance/Talent Dashboard
- Customers with the full Talent Management module have access to two Nine Box Grids to rate employees which can assist with Succession Planning.
- Go to the following area:
- Latest (left-hand) menu: The grids can be accessed via Performance & Development > Performance Dashboard
- Pre-2025 (top) menu: Talent & Development > Talent Management > Talent Dashboard
- Numbers in each box reflect how many people are in it, click the box to see the names
- Ratings that have been applied to each person (high/medium/low) determine where they sit in each grid
Performance and Potential
Flight Risk (likelihood of leaving) and Impact (of leaving)
- Where there are multiple numbers against an employee it shows their current and any previous rating. Hovering your mouse over the number shows the rating description and date of the review it relates to
Completing 9 box scores
Performance or Flight Risk values can be entered in two ways:
- As part of an individual review process (such as an annual appraisal form) via the Employee Dashboard
- As a separate Quick Entry input process to score a list of people in one go
To add 9 box questions to an existing Review Type
Configuration
- Firstly a user with appropriate permission must configure the Review Type to include the ratings
- Go to the following area:
Latest (left-hand) menu: Performance & Development > Performance & Development Configuration > Review Types Configuration
Pre-2025 (top) menu: System > Talent Management Configuration > Review Types
- Select the Review Type where you wish to add the questions
- Move the sliders for 9 Box Ratings and/or Flight Risk Enabled dependent upon which scores you wish to include
- Click Update to save the record
Recording 9 Box ratings via an individual review process
- To add the Review Type to an employee’s record, go to the Reviews tab via:
- Latest (left-hand) menu: Performance & Development > Employee Dashboard
- Pre-2025 (top) menu: Talent & Development > Talent Management > Employee Dashboard
- Click Insert New Record and select the relevant Review Type that has the 9 box questions enabled
- The questions to populate the 9 Box grids will appear at the end of the Manager Review Form on the Manager Questions tab

Note: You can choose whether the Manager Questions section is visible to an employee via System Configuration. Filter on the name or Talent Management Group. Talent Management Show Sensitive Answers to Employee default setting is True. Clicking on the row and disabling the switch will set it to False which will hide the section even if the employee can view the Manager Form. Click Update to save any change. |
To record ratings using the 9 Box Quick Entry page
Configuration
- Go to the following area:
Latest (left-hand) menu: Performance & Development > Performance & Development Configuration > Review Types Configuration
Pre-2025 (top) menu: System > Talent Management Configuration > Review Types
- Select the record 9 Box Quick Entry
- Move the sliders for 9 Box Ratings and/or Flight Risk Enabled dependent upon which scores you wish to include
- Click Update
| Note: The 9 Box Quick Entry template is a standard entry Review Type used solely to configure the quick entry page and should not be deleted. |
Recording 9 Box Ratings via Quick Entry
- The 9 Box Quick Entry is a separate page which allows a user with the appropriate subordinate access to quickly score a list of people all at once
- To enter values using Quick Entry, navigate to:
- Latest (left-hand) menu: Performance & Development > 9 Box Quick Entry
- Pre-2025 (top) menu: Talent & Development > Talent Management > 9 Box Quick Entry
- Create a Subset of employees requiring a review (top right button). The right hand column will show each person’s Most Recent 9 Box Review date (if relevant)
- Complete the values against each of the headings (two or four depending on whether you have chosen to include Potential and Performance and/or Flight Risk and Flight Risk Impact)
- When complete click Submit to save the records
- A pop-up will advise that Reviews have been created as this will create a ‘9 Box quick entry’ Review Type on each employee’s record which will be stored in their Employee Dashboard and contains just the Manager Questions section
- Return to view the 9 box grids - Performance/Talent Dashboard to see overall scores in the grids
