Introduction
Employee Entry Tables let you view and update data for multiple employees at once in a spreadsheet-style grid. You can configure which columns are shown, filter which employees appear, copy data to Excel for bulk changes, and paste it back. Tables can be saved for reuse — either for your own account, for the whole company, or globally across all companies.
The Employee Entry Tables shortcut is available on the main toolbar.
Open an existing table
- Click the Employee Entry Tables button on the main toolbar.
- A list of saved tables is shown. Select the table you want and click Open.
- The table opens with all employees displayed. Any cells highlighted in blue contain proposed changes that have not yet been saved.
- Make any required changes directly in the cells, then click Update to save the changes to the payroll.
Edit the columns in a table
- Click the Employee Entry Tables button, select the table, and click Edit (rather than Open).
- The column set editor opens, showing the current set of columns. Click Edit to modify the selected column set.
- To add a column, select it in the Available list and click Add. To remove a column, select it in the Selected list and click Remove.
- Use the Up and Down arrows to change the column order.
- Click Save, then Open the table to confirm the new column is included.
Create a new table
- Click the Employee Entry Tables button, then click New.
- Click Add New to create a new column set.
- Select the columns you need from the Available list and click Add to move them to the Selected list.
- Once all required columns are added, they appear in the Selected list.
- Click Save As to save the column set. Enter a filename and click OK.
- The new column set now appears in the list.
- Click Save As again to save the overall table definition. Enter a filename and click OK.
- The new table now appears in the table list and is ready to use.
Copy data to and from Excel
- Open the table, select all cells (Ctrl+A), then copy (Ctrl+C). Paste into an Excel spreadsheet for bulk editing.
- Make your changes in Excel, then select and copy the amended data. Paste it back into the table in Accord Payroll and click Update to save.
Create a table for a specific employee group
You can filter which employees appear in a table — for example, to create a salary increase table showing only current employees.
- Open an existing table. The default view shows all employees.
- Blue cells in the table indicate proposed changes ready to be applied.
- To change which employees are shown, click the Table Definition button.
- Click Edit next to the column set to modify the columns.
- Add or remove columns as required using the Available and Selected lists.
- To filter employees, click the Employee Selection option. You can include or exclude leavers, or select a specific group.
- To apply an employee list filter, click Select Employee List and choose the list to use.
- The filtered table (for example, Salary Increase) now shows only the selected employees.
Save a table for company-wide or global use
By default, tables are saved to your own account. You can also save them so that all users at your company can access them, or globally across all companies.
- After configuring your table columns, use the Edit option and select the Employee List to narrow the scope further if needed.
- Add the employee list and sort order as required.
- Click Save As for the table definition. A new untitled table definition is created.
- The table now shows the configured columns.
- Click Add New to create an additional column set if required.
- Configure the new column set as needed.
-
When saving the column set, choose Save As. You are given two options:
- Company — all users at your company can see this table
- Global — all users across all companies can see this table
- The saved table is now available to the relevant users.
- Opening the table shows the employee data ready for editing.
- Use the copy/paste workflow to copy data to Excel for bulk amendments, then paste back.
