Run the payroll calculation and update in Accord Payroll

Introduction
Each pay period follows the same cycle: enter all pay data, run the calculation to verify figures, create any payment files for your bank, then run the update to permanently post the period. Once updated, the period cannot be changed — always check the figures carefully before updating.
Important: The payroll update is irreversible. Make sure you have reviewed all employee payslips and resolved any exceptions before running it.
Run the payroll calculation
- From the main menu, go to Payroll > Start Calculation.
- Select the payroll frequency and click OK to start the calculation. A progress window appears while Accord Payroll calculates all employees' pay.
- If any exceptions are listed (such as missing bank details or NI number warnings), review them. Resolve any critical issues before proceeding.
- Click Close to dismiss the progress window when the calculation is complete.
Tip: After the calculation, run payroll reports to review individual employee payslips before going further.
Create payment files
If you pay employees by BACS or Autopay, create the payment file before running the update.
- Go to Payroll > Create Payment Files.
- Select Create BACS/Autopay Submission File and click OK.
- Enter your BACS bureau details if prompted, then click OK. A confirmation message appears when the file has been created successfully.
Run the payroll update
Warning: Once you click Yes in step 2, the payroll period is permanently posted and cannot be reversed. Ensure you have created payment files and reviewed all payslips first.
- Go to Payroll > Update.
- A confirmation prompt asks whether you are sure you want to update. Click Yes.
- Accord Payroll backs up the data and posts the period. A progress screen is shown while the update runs.
Update the payroll journal
After the payroll update, post the payroll journal to your accounts package.
- Go to Reports > Print Payroll Journal.
- Select the relevant payroll and period, then click OK. A prompt asks whether to update the journal.
- Click Yes to post the journal to your accounts package.
Note: The payroll journal will only update successfully if your nominal account codes are correctly configured. See Set up cost centres and nominal accounts for guidance.
