Step-by-step guide
Introduction
iRecruit offers a wide range of powerful functions, accessible through the Applicant Options menu. This quick reference guide provides an overview of what each menu option does.
| Note: Depending on your system configuration, some options may not be visible or applicable. |
Applicant Options
| Update Status | To move this candidate to the next recruitment stage. An email communication will be displayed if the Status Change has an associated communication. |
| Update Comments |
To add a new comment and to edit or delete an existing comment, for this candidate. IMPORTANT: Candidates have a legal right (under the Data Protection Act) to request all the data held against them in a database – as such, we strongly recommend caution when adding comments as a candidate has the right to see these. |
| Update Candidate Score | Used for offline/postal applications only. This option allows you to add an overall score for competency questions for offline/postal applications, This option is switched off by default. |
| Update Quick Check | To update the status of this applicant check (as predefined In the client set up), e.g. a qualification or CRB check. |
| View Application Form | To view and print a formatted version of this candidate’s application form. |
| Change Personal Information | To update this candidate’s personal details and reset their account password. |
| Attach Documents | To upload additional documents to this candidate’s application, e.g. a copy of passport details. |
| Email CV to Manager |
To forward this candidate’s CV to a manager along with some basic notes/an ad-hoc message.

| Move to Another Role |
To move or copy this candidate to a more suitable job. NOTE: The move will be displayed in the ‘Processing Summary’ (audit tracker) |
| Email Candidate | To email the candidate using the CIPHR iRecruit system. A record of the email communication is stored within the ‘Processing Summary’. |
| Generate References | To update the candidate’s reference details and automatically create email or letter reference requests. |
| View References | To add or amend reference details for the candidate, view the reference request history and to record when references are received. |
| Add Communication | To record any communication with the candidate that takes place outside the CIPHR iRecruit application. |
| Send SMS | To send an SMS/text message to this candidate using the CIPHR iRecruit application. |
| Generate Offer | To generate an offer letter for this candidate and to submit the offer for approval. |
| Approve Offer Letter | To approve an offer request. |
| Print Offer Letter | To print a formatted version of an offer letter. |
| Produce Mail Merge Documents | To generate standard letters/forms pre-filled with the candidate’s details. |
| Reset Password | To reset a candidate’s account password. |
| Pre-employment Checks | To select and monitor a candidate’s pre-employment checks (as pre-defined in the client set up) e.g. Passport, New laptop. |
| View Address History |
To view and manage a candidate’s contact address details. This is only applicable when the address history app form page type is turned on in within an app form within the system and does not affect the ‘registered address’ |
| Edit Application Form Data | To make changes to the application form on behalf of a candidate. IMPORTANT: Candidates have the legal right to request all the data held against them in a database – as such we strongly recommend caution when adding comments as a candidate has the right to see these. |
