Overview
Before Benefits goes live, employee needs to be synced into Benefits, and the right people need the right access. HR users need Write access to the Benefits Management page to assign benefits packages and to sync employees; end users only need Single Sign-On (SSO) access to log in and view their own benefits, and should not be given access to Benefits Management. Access is set up in Role Management.

Go-live checklist
Use this checklist to prepare to launch benefits to your users. Click the links to jump to the relevant section.
Step 1: Grant HR user access to Benefits Management
HR users need Write access to the Benefits Management page before they can sync employees or assign benefits packages – grant this first. Only HR-type user roles should have this access.

Go to System Configuration > Role Management.

Select the relevant HR user role, then click Pages.

Search for “Benefits” and grant Write access to Benefits Management
- Click Review Changes, then Update to save.
- Repeat these steps for any other HR users who need access to sync employees.
Step 2: Sync existing employees to Benefits
Once HR has access to Benefits Management, confirm all existing employees are synced into Benefits so packages can be assigned and employees can use SSO from day one.
- Navigate to Data Management > Benefits Management and select the Not syncing tab.
- Select the employees to sync, or use the header toggle to select all matching the current filter.
- Click Sync, then confirm in the dialog that appears.
- Employees move to In progress or Successful. Check any Failed rows for the reason.

| Note: New starters added through the Add employee workflow with Create Benefits Record enabled sync automatically – no action is needed. |
Step 3: Grant all users SSO access to Benefits
All users need SSO access to view their benefits via the HR menu.
HR Users should test this step before enabling SSO for end users.
| Note: SSO allows a user to view their own personal benefits. Admin access is via a separate login provided to the relevant users. |
- In Role Management, select the relevant user role.

Click Single Sign-On, locate Benefits, and set it to Accessible.
- Click Review Changes, then Update to save.
- Before going live, test that the Benefits link launches correctly for this role via the External Links menu
- Repeat these steps for each user role to grant access.
