This guide will show you how to add a new starter in HR who should sync to Benefits.
The New Employee Workflow is the only route that can start a Benefits sync without a separate visit to Benefits Management. Enabling the Create Benefits Record switch initiates the sync straight away once the new starter workflow is saved and the new employee record is created.
| Tip: Benefits sets up each new user overnight - enrolling them, opening their new joiner windows, and activating their account, so a synced user can sign in the next day. Syncing new starters a day ahead is the simplest approach. If same-day access is needed, an HR admin can run these steps manually in the Benefits admin platform. |
Add new employee (workflow) - create benefits records
- Go to Starters > Add new employee (workflow)

Note: The following fields must be completed for a successful sync: Employee stage
Job and Pay stage

- At the Employee stage > Employment details tab, enable the Create Benefits Record switch. (This is the only place you will see the switch - see note below).
- You may pick a Benefits Level here (if you have a choice), or skip it - the workflow allows the starter to be saved without one and you can assign the Level later, or if you only have one level (package) then you don't need to set it
- Finish the workflow. The starter is sent to Benefits automatically on the next sync cycle - there is no manual first-sync step. They will appear briefly under In progress on the Benefits Management page and move to Successful once the Benefits platform acknowledges.
If the record fails validation they will appear under Failed instead - clicking on a row will display the sync history details on why the record failed (such as a missing required field).
If you forget to tick Create Benefits Record while running the workflow, the new starter will land in Not syncing just like any existing employee. Bring them in from Benefits Management following the Syncing existing HR employees to Benefits guide
| Note: The Create Benefits Record switch is deliberately hidden on the Personal Details page. This is intentional: once a record is being synced, ordinary HR users cannot stop the sync from there. Removing someone from active benefits coverage is handled through the Leaver Workflow Wizard, not by toggling sync off. |
