Understanding the 'Unknown' application count
The 'Unknown' category is used when the system cannot associate an application with a recognised source or recruitment channel.
In most cases, applications shown under Unknown are candidates who have started an application but have not yet submitted it. As the application remains incomplete, the system may not have sufficient information to determine the application's source.
To review applicants listed under 'Unknown'
- Open the relevant job within Ciphr iRecruit
- Locate the Applicant Details section
- Review the count displayed against Unknown
- Click the + icon next to Unknown to expand the list and view the affected applicants
- Review the applicant records to determine whether a Source or Recruitment Channel has been recorded
| Note: The majority of applicants displayed under Unknown are incomplete applications rather than submitted applications with missing source data. |
Investigating applicant source information
If you need to review a specific applicant:
- Open the applicant's record
- Review any available Source or Recruitment Channel information
- Confirm whether the application has been submitted or remains incomplete
- Where appropriate, compare the applicant's details against the vacancy setup to identify any potential source-tracking issues
| Important: Source information cannot be retrospectively added to an application if it was not captured when the candidate applied. Any changes made to vacancy or advert settings will only affect future applications. |
Expected outcome
Users should understand that the Unknown application count is most commonly associated with incomplete applications or applications where source information could not be determined. Reviewing individual applicant records can help identify the cause, but existing source information cannot be amended retrospectively if it was not captured during the application process.
