Answer
A learning plan is assigned when a user matches the organisation filters on one of its assignments, or when a rule assigns it. If the user’s department, job role, training group or other details don’t match, or haven’t synced from HR yet, the plan isn’t assigned.
How to fix it
- Check the plan’s assignments. Go to Admin > Manage Training > Manage Learning Plan, open the plan and go to Restrictions and Assignments. Check the organisation filter values cover the user.
- Check the user’s details match. Go to Admin > Manage Users > Manage Users, find the user and compare their department, job role and training group with the assignment filters. If your LMS data comes from Ciphr HR, correct the details in HR and allow the overnight import to update the LMS. You may only need to select one structure to ensure a learning plan is assigned to the relevant group. It may not be necessary to select multiple structures.
- Check training groups. If you assign by training group, check the group is on the employee’s profile under Additional Information > LMS Training Groups. See How to configure and assign LMS training groups
- Check any rule that assigns the plan. Go to Admin > Advanced > Manage Rules, find the rule and select .... Use Trial Run to see whether the user meets its conditions, and Download Audit to see whether it has run for them
- Assign the plan individually if needed. In Restrictions and Assignments, use Individual Assignment to add the user
- If it still isn’t assigned, raise a ticket with the plan name, a few affected users and the checks you’ve made
- Check that the learning plan hasn't been restricted. Even if the learning plan is assigned if the user is not in the restriction group they will not see the learning plan.
- If an activity is restricted from a user it will not show in the learning plan even if the learning plan is assigned.
| Important: Adding a training group to a profile doesn’t assign any learning on its own. The plan also needs an assignment for that training group. |
| Note: Changes made in Ciphr HR reach the LMS overnight, so a new starter or a changed role may not get the plan until the next day. |
