This guide explains how to edit existing letter templates that are stored in HR. Please see Creating a new Letter/Document template if starting from scratch.

To edit a letter template in the Letter Store
- Go to the following area:
- Latest (left-hand) menu: Employee Communications > Letter Library & Distribution
- Pre-2025 (top) menu: Letters > Letter Store
- Find the letter that you want to change
- Click on the letter name and Actions for the letter will be presented
- Send Letters – used to select the subset of recipients and distribute the merged employee documents
- View Template – Opens the document with the placeholder fields ready to be edited. Save the template when complete. The template will need to be reattached to the letter using Change Template and the mappings will need to be reassigned
- Edit Properties – will enable you to review and if required change the template properties and distribution defaults. The template is enabled from the properties screen
- Edit mappings – assign the HR field that matches the placeholder fields in your document template
- Change Template – select the template file which is to be associated with this document in your letter store (you will then need to remap fields)
- Delete Template – to remove the template from the Letter Library
