Contents
Overview
- AD connector automatically generates email addresses/mailboxes for new starters and will populate Contact/Work email address fields in Personal Details
- You can view this in the following area:
Latest (left-hand) menu: Personal > Personal Details Details
Pre-2025 (top) menu: Personal Data > Personal Information > Personal
Click on the Contact details tab
If adding new joiners ahead of employment, you can delay the sync to the person's start date if required
Eg you may wish to delay the sync of Contact email address if this has been populated with a personal email address for a user to log in prior to their employment start date (when they don't have access to their work email yet), so they can complete Onboarding activities
System configuration settings
There are two system configuration settings that let you choose when a user’s email is synced for contact and work email address fields.
Go to (System) > System Configuration > System Configuration
Filter the Group Name to AD Connector
- The two emails are listed to click on and amend as needed (see Note below re email names)
- You may want the work email to sync immediately so it’s available in the system, while delaying the sync of the Contact (login) email if the user is onboarding with a personal email before their official start date
Sync Options:
-
Immediately (overnight sync) – Default setting:
- Use this if you want the email to sync asap
- Value: TRUE
- On Start Date – Recommended for onboarding with a personal email:
- Use this if the user logs in with a personal email before employment begins.
- Value: FALSE
How to Update the Setting
- Click on the relevant email address
- Toggle the switch off to set the value to FALSE (sync on start date)
- Click Update to save your changes

Note: The email address names may differ in the Personal Details table to what is displayed on screen. Please check the table (filter contains ‘email address’) to compare SQL name to Description: • Latest (left-hand) menu: Data Management > Tables and Fields |
