This help guide will take you through the Absence Reasons code table management, which is used when recording sickness absences.

Introduction
Populating and maintaining this code table will enable you to accurately record and then subsequently monitor the reasons for employee sickness absence. The more reasons that are available, the more granular the reporting and analysis will be. This code table can be added to at any time.
Absence Reasons
- Go to the following area:
• Latest (left-hand) menu: Data Management > Code Tables
• Pre-2025 (top) menu: System System Administration Code Tables - From the Group choose Absence, select Absence Reasons
- The screen will display all the existing codes
To create an Absence Reason
- Go to the following area:
• Latest (left-hand) menu: Data Management > Code Tables
• Pre-2025 (top) menu: System System Administration Code Tables - From the Group choose Absence, select Absence Reasons
- Click Insert New Record
- Enter the reason Code and add a Description. The description will be selected when entering time off for a sickness record
- The slider for Notifiable should be 'ON' if for any reason, which would be notifiable to the relevant authorities, eg Tuberculosis, Coronavirus, etc. A full listing is available on the government website. This can be a useful flag for reporting but does not trigger any notification.
- Enter a full description as required
- Groups can be used together with similar types of sickness for reporting purposes. For example, your group could be 'mental health', which would be attached to stress, anxiety, depression and panic attacks, or your group could be 'musculoskeletal', which could encompass back ache or neck ache
- Click 'Update
| Note: The Group field is a 'self-generating' list. Type something into this list, and it will then be available for selection for other codes. |
| Note: Many customers choose to delete the Absence Reason - 'Unknown'. This encourages employees and managers to accurately record absences. |
To delete an Absence Reason
- Go to the following area:
• Latest (left-hand) menu: Data Management > Code Tables
• Pre-2025 (top) menu: System System Administration Code Tables - From the Group choose Absence, select Absence Reasons
- Click on the Absence Reason that is to be deleted
- Click Delete
| Note: An Absence Reason cannot be deleted once it has been used to record data. |
