- This guide explains how timesheet approval workflows determine the route that a submitted timesheet must take if approval is required
- Approvals can be configured to three levels
To create a timesheet approval workflow
- Go to the following area:
- Latest menu: Timesheets > Timesheet Configuration > Timesheet Approval Workflow
- Pre 2025 menu: System > Timesheets > Timesheet Approval Workflow
- The screen will display any workflows that have already been created
| Note: If there is no approval workflow specified in the Timesheet rule, the system defaults to the employee’s immediate line manager for approval, and HR users can still do spot checks and approve timesheets if necessary without receiving the notification emails. Therefore this area can be left blank if line manager approval is all that is needed. |
- Click Insert New Record
- Enter a Name as required
- The selected approver will receive an email notification to advise that timesheet approval is required
- Enable Deputy will, if the individual has a nominated deputy and they have been made active, send the notification to the deputy
- The cross in a red circle alongside an approver will delete that approver
- The plus in a green circle will add another approver group
- In the example once an employee on a rule associated to that workflow submits their timesheet, it will go for approval by their manager or any user in the “HR User” user role (they will all receive an email to say it is waiting for approval). Once they have approved it, it will then go for approval but the manager's manager or any user in the “HR User” user role (they will all receive an email to say it is waiting for approval). Once one of those users has approved the timesheet it is then fully approved
- Even though the user role “HR User” is in both Level 1 and level 2 if they are the ones that complete both levels of approval they will have to approve the timesheet twice. Once for level 1 then once for level 2
