This guide will show you how to review spine points and values in the Spines code table.
Overview
There are two types of spine update:
- Spine rate review: Where the spine rates are updated and applied to Job and Pay records, such as following a cost of living increase (covered in this guide plus the linked guide)
- Spine increments: Where people move up a spine point within an associated Grade (see linked guide for more details)

Update spine values
- Spine updates enable you to update the values for points on a specific spine. Changes made to the spine can then be reflected in the Job and Pay record for employees on that spine.
| Note: Applying these changes are irreversible so care should be taken to ensure that the data is accurate before you update. |
- Go to the following area:
- Latest (left-hand) menu: Data Management > Code Tables
- Pre-2025 (top) menu: System > System Administration > Code Tables
- From the Group choose Job and Pay and then Spines
- Click on the name of the spine to be reviewed
- The screen will display a page with two tabs; Spine provides the description, pay basis and code of the spine itself and Review shows the history of updates made to this spine
- Click on Add new record
- A new line will be added with today’s date which can be changed to reflect the date of the spine update. This will also be the date that the new job and pay record becomes effective
- Enter the number of hours and then click Save changes
- Click on Values
- Spine point values can be created one by one using Add new record, or they can be inserted automatically based on the points that already exist for this spine using the Auto Insert option
| Tip: Auto-inserted points can be edited once added, so this is a quick option to add in multiple points, then tweak to match your spine pay scale(s). |
- Click Auto Insert
Using the option to C/F existing points will carry forward the current points information from the spine and will apply whatever percentage increase or amount increase is specified
- Using the option to create new points enables you to specify the start and end points and to determine the start value and the increment value
- Click Auto Insert
- The values will be populated depending on the insert option chosen
- Manual changes on a point by point basis can be made and changes saved as required
- Click Save Changes
| Note: Updating the spine points won't affect anyone's pay unless they have a subsequent Job and Pay record inserted, that is dated on/after the review date. You can apply the update in bulk using the Update Job and Pay button - see linked guide for more details. |
