Add a schedule to a workshop
This guide will show you how to add a schedule to a workshop activity. The schedule contains all the information about the workshop, such as timings, location and delegate details.
- Within your workshop activity, click on the Schedules tab
- Click on the Add New Schedule button
- The Activity Type, Category, Code and Name are pre-populated, based on the information in the Workshop
- Add the number of Minimum and Maximum Delegates that are required for the Schedule
- Toggle Limit Delegates if you wish to limit the number of delegates that can attend the Workshop per department (organisation structure may differ from department depending on your configuration)
- Add the Schedule Duration, together with the Start and End Date and Time
- Select the Booking Approval Type from the dropdown list
- You can decide to disable users booking onto the Schedule before the start date, by clicking on the Disable Booking toggle and then adding in the number of days before
- Then select whether attendees who wish to cancel their booking, can do this immediately or whether they have to request this
- You can then add how many days before the Workshop that they are able to cancel their booking by clicking on the Cancel Up To toggle and adding in the number of days
- Finally, toggle Enable Schedule once you are happy for this to be made available for bookings
- Now click on the Training Details tab to add the Country, Location and Venue
- Select the Trainer from the dropdown list and Additional Trainers, if required
- Add a Fee if required and then add any Available Resources (these are managed under Manage Venue Resources)
- Now click on the Notifications tab and then select the Booking Confirmation Template and whether you wish to also send a copy of the Booking Confirmation and Booking Cancellation to the manager
- Toggle Send SMS if you wish text messages to be sent to delegates and add the number of days before the event that you wish the reminder to be sent, together with the time
- Toggle Send Email if you wish an email to be sent to Delegates and add the number of days before the event that you wish the reminder to be sent, together with the time
- It’s now time to select whether you wish Joining Instructions to be sent to Delegates by clicking on the Send JI toggle
- If you wish for this to be sent, add the number of days before the event that you would like them to be sent and whether you would like to send a Copy to Manager
- Select the Joining Instructions Template from the dropdown list
- Add any additional messages to the Joining Instructions email, if required
- You can also add any Pre-Activity Work, which will also be included in the Joining Instructions email
- If you have set up Sessions for your Workshop, you now click on the Sessions tab
- You will see that it has populated your Session names, so you now need to add the Session Duration, Start/End Date and Time and if you would like to send a reminder. If you do, toggle Send Reminder and add the number of hour(s) before the event when you would like this to be sent
Once you have completed all the information, click Save Schedule
