Determine how Personal ID is managed in your LMS
The method for updating Personal ID depends on whether the field is imported from an HR system or managed directly in the LMS.
- Check whether your LMS user data, including Personal ID, is imported from Ciphr HR or another HR system
- If your LMS isn't integrated with an HR system, confirm whether Personal ID is maintained directly in the LMS
Note: If you're unsure how your LMS user data is managed, contact your Ciphr account manager or support team for clarification.
Update Personal ID via HR system import
If Personal ID is imported from Ciphr HR or another HR system, update the identifier in the source system instead.
- Update the Personal ID, or equivalent identifier, for each user in your HR system
- Allow the overnight import process to synchronise the updated values into Ciphr LMS
Important: Do not update Personal ID directly in the LMS if your data is imported from HR - changes will be overwritten by the next import.
Request a bulk update for Personal ID managed in LMS
If Personal ID is managed directly in Ciphr LMS, bulk updates require back-end changes by Ciphr's consultancy or implementation team.
- Prepare a list of users and their new Personal ID values in a spreadsheet
- Contact Ciphr support to request a bulk update, and provide your prepared file via your secure SFTP account
- Work with Ciphr to test the update on a single user before applying it to all users
- Once testing is complete and confirmed, authorise Ciphr to proceed with the bulk update for all users
Important: Bulk updates to Personal ID in the LMS are a chargeable service and may impact reporting and training history. Always test with a single user first.
