Manage Organisation Types overview
Manage Organisation Types is accessed through Admin > Manage Users > Manage Organisation Types.
The site is configured with an organisational hierarchy of up to seven indexes (or levels). The term organisational hierarchy defines the structure within which users, learning activities, training plans and Learning Journeys are assigned.
An individual hierarchy element is known as an Index. A collection of indexes, which together form a hierarchy is known as an Organisation Structure.
The seven index levels in the organisation structure are:

| 6 | LMS Index 6 | Job Role |

| Note: on system set-up, the site can be configured to use less than seven indexes and the names of each index can be changed. |

Manage Organisation is used to add, edit, delete or move an element in the initial four indexes (Country, Region, Area and Branch). Manage Organisation Types is used to Add or edit an element in the other three indexes (Department, Job Role and Training Group).
| Note: sites which have a data feed will update user records and elements of the organisational hierarchy automatically through the data feed then you will not have access to Manage Organisation or Manage Organisation Types. |
Add an Organisation Type
Due to the potential impact on the database structure, if you require an Organisation Type to be added to your organisation structure, raise a support ticket through your site.

Edit an Organisation Type
The primary reason to edit an Organisation Type (Department, Job Title or Training Group) is because the Organisation Type has changed, i.e. the name of a Department has changed.
Due to the potential impact on the database structure, if you need to edit an organisation type for any other reason, raise a support ticket through your site. For information on how to raise a support ticket see the Raising a support ticket help guide.
- Select Admin > Manage Users > Manage Organisation Types
- Select the Organisation Type button. If the change is to be made throughout the site, select All
This will show all the Department, Job Role and Training Group entries for the site - In this example we are going to change the name of the ‘Training’ Department to ‘Learning & Development’. Select Training in the Department field to highlight it
- Select the Edit button. This opens a pop-up window
- Type in the new name for the Department in the Name field, and add a description of the change if required for future reference
- Select the Save button. You will see a confirmation message stating the change has been saved
- Select the Close button (X) to close the pop-up window and return to the Manage Organisations Types page
- Select the All button to show all the Department, Job Role and Training Group entries for the site
This now shows the name of the Department has changed
This change will be applied to all the relevant records throughout the site.
Delete an organisation type
Due to the potential impact on the database structure, if you require an Organisation Type to be removed from your organisation structure, raise a support ticket through your site.
