Case Management access is set up the same way for HR users, managers and employees, through page access and case type access in Role Management. HR users usually already have broader system access to manage configuration, and this guide covers the recommended access for different role types.

Page access
Page access is set and applied the same way for every role. See Page access permissions for the full steps and definitions (Write Access, Read Only, Hidden).
Search "Case" in the Pages filter, then apply access to whichever of the pages below are relevant to the role you're setting up.
HR users
- Case Correspondence Types (Case Management Configuration): lets HR users set up the correspondence types used to manage communications on a case.
- Case Outcome Types (Case Management Configuration): lets HR users configure the outcome types that can be applied to cases.
- Case Priorities (Case Management Configuration): lets HR users build a priority list for cases.
- Case Statuses (Case Management Configuration): lets HR users define the statuses a case moves through.
- Case Type Entities: only required if Multi Entity is enabled.
- Case Types (Case Management Configuration): lets HR users create the case types available in the system, for example Disciplinary or Grievance.
- Cases (Case Management): where HR users view cases logged against their own profile or against employee profiles.
Managers and employees
- Cases (Case Management): where managers and employees view cases logged against their own profile, or, for managers, against their subordinates' profiles too.
Case Type access
Once page access is applied, decide individual Case Type access for the role. See Case Type permission types for what each permission type (Create, Contribute, With Delete, View, With History, Manage, Delete) allows.
- Go to Case Management > Case Types
- Click each Case Type and apply the permission types as required
HR user roles are typically granted access to all Case Types. For managers and employees, grant access as appropriate.
| Note: The Case Management module doesn't currently support field-level security. As a result, HR users can view all fields on any employee record they have access to under record group security, and managers can view subordinate case details as permitted by the case type. |
Repeat the above steps for every user role that needs case management access.
