Create and manage wage types using the Wage Type Wizard in Accord Payroll
- How to create a new wage type using the guided Wage Type Wizard
- How to edit an existing custom wage type
- How to copy an existing wage type as a starting point for a new one
Introduction
Wage types control how individual pay and deduction items behave — how they are calculated, whether they attract NIC or tax, and how they are shown on payslips. Accord Payroll includes a large library of standard wage types for common pay items. For bespoke items not covered by standard wage types, you can create custom wage types using the Wage Type Wizard.
Note: Creating and editing wage types requires a solid understanding of payroll taxation rules. If you are unsure how a pay item should be treated for PAYE and NIC purposes, consult your payroll bureau or Ciphr support before creating a custom wage type.
Create a new wage type
- From the main menu, go to Payroll > Wage Type Wizard > New.
- The Wage Type Wizard opens on page 1. Enter a Code (the wage type number — must be in the custom range, typically 9xxxxx), a Description, and set the Type (payment or deduction). Click Next.
- On the Source page, set how the wage type value is determined — for example, whether it is entered manually, calculated as a percentage of basic pay, or derived from another source, in this example the selection should always be "User Entry". Click the Source dropdown to see all options.
- Continue through the wizard pages, configuring tax treatment, NIC treatment, and payslip description as required. Click Next on each page.
- On the final page, review the settings and click Finish to save the new wage type. It will now be available to use on employee Transactions tabs.
Edit an existing wage type
- Go to Payroll > Wage Type Wizard > Edit.
- A list of existing custom wage types is shown. Select the wage type you want to edit and click OK.
- The Wage Type Wizard opens pre-populated with the current settings. Navigate through the pages and make your changes, then click Finish to save.
Warning: Editing a wage type that is already in use will affect all future pay runs using that wage type. It will not retroactively change historical payroll data. Test any changes carefully before the next payroll update.
Copy an existing wage type
If you need a wage type similar to an existing one, copy it rather than creating from scratch. This saves time and reduces the risk of configuration errors.
- Go to Payroll > Wage Type Wizard > Copy Wage Type.
- Select the source wage type you want to copy from and click OK.
- Enter a new Code and Description for the copy, then click Create a Copy.
- The new wage type is created as an exact copy. It now appears in your wage type list and can be edited via Wage Type Wizard > Edit to adjust any settings that differ from the source.
