This guide shows how AI can be used in Review Types to collate and summarise past responses in employee/ manager review forms, supporting performance conversations such as mid-year, annual, or other overall reviews.

Review type configuration
- AI can be enabled per Review Type
- Go to Performance & Development > Performance & Development Configuration > Review Types Configuration
- Select the relevant Review type
- Turn on the slider for Allow AI answers and click Update to save
- You will need to enable this setting on each Review Type to use the AI feature
Suggesting answers with AI
- When a review is created within the Employee Dashboard if it has AI answers enabled, any sections within a review form with long/short text answers will have a Suggest answers button present
| Note: You will only see the Suggest answers button when you are the named reviewer on the form (employee or manager) so won't see it if looking at other peoples' reviews. |
- Clicking the Suggest answers button will present a pop-up where you can choose which review type(s) to summarise answers from and select a date range to narrow it down (leave blank to include all)
- Click Next and then you can untick any reviews you wish to discount from the suggested responses then click Generate
- Once the AI has finished summarising, a message will advise whether there was sufficient data to generate answers
- Click Ok and then you will see a Populate button against answers where there was sufficient text to generate a response. The Populate button will not display where there wasn't enough previous data to suggest an answer
- Clicking the button will populate the text answer with suggested text for you to review and amend as necessary

Note: In relation to the message below, AI answers won't be considered as a draft answer until you click into the text box to start editing, so if you leave the review without editing/submission it won't be saved but can be generated again. |
How the AI usually works or responds
- The AI model should only populate answers it has relevant historic data for. If it has no data to answer the question, it will return a blank answer for that question
- The review questions are important - if they are not relevant or generic, the model will find it difficult to provide a relevant answer (eg “Notes” or “Feedback”)
- If the review questions in the target review form are also in the historic review data, it may replicate the exact same answers in the target review:
- eg “What have been your recent successes?”: If this question is in your monthly review as well as your target review, the model may give an identical answer to the historic answer. Differentiate where possible - ie “what have been your successes this month?” vs “summarise your recent successes”
