The Letter Queue/Status area displays two tabs of information in relation to the creation of letters; those that are incomplete and therefore Requires Action, and the letter History.

Letter queue/status
The Letter queue/status page is split into two tabs;:
- Requires Action - Letter runs that has been started but not distributed or cancelled
- History - Complete letter runs that have been distributed
You can access the page either by pressing Summary during the Run Letters stage of the workflow (see next section) or via:
- Latest (left-hand) menu: Employee Communications > Letter Queue
- Pre-2025 (top) menu: Letters > Letter Status
Click on the letter name required and a list of actions will be presented (only View Employees will be available on letters in the History tab):
- Preview – will enable you to continue with the distribution process and takes you back to the Run Letters page (see next section)
- Delete – to delete the letters and Cancel the process
- View Employees – to see the employees that the letters are being/have been sent to
| Note: The default retention period of letters in the Letter queue area is 7 days but can be amended by contacting Customer care. |
Preview - return to run letters
To process a letter under the Requires Action tab click on it and then select Preview to return to the Run Letters page.
The Run Letters stage of the workflow provides you with the options of:
- Bulk Download - enables you to download all documents into a zip folder
- Bulk Upload - this will appear when you click either Download option
- Download – the button to the right of each employee record enables you to download and open or save the merged document for that particular person
- Distribute – completes the merge and distributes the letters accordingly
- Summary – will take you back to the letter queue (exit without cancelling) where you can see the Requires Action and History tabs
- Cancel – this will cancel the distribution of the documents and remove them from the queue
