This guide will show you how to store documents against employee records in HR.

Overview
Documents can be stored against employee records in HR like an online filing system. These documents can be made accessible to the employee and/or their manager.
Documents can be automatically uploaded as a result of sending letters to employees or as a result of documents which are associated with an absence.
Storing Personal Documents
- Go to the following area:
- Latest (left-hand) menu: Personal > Personal Documents
- Pre-2025 (top) menu: Documents > Personal Documents
- The screen will display any existing documents for the selected employee, displaying the File Name, File Type, Description and the Access that the employee and or line manager has

- Click Insert New Record
- Click Select Files... and locate the document to be loaded
| Tip: You can drag and drop files over the Select Files... button if preferred |
- Enter a Description, select the Category and type any Notes as required
- The Category will control the access sliders for Employee/Manager but can be amended (HR User roles only) as needed and then click Update
- The document will now be available for download to the employee and or manager as denoted
