Cost Centres and Org Unit 1
Introduction
Cost Centres can be used as a grouping option for employees. The Cost Centre information can be output to payroll enabling salary analysis by cost centre to be undertaken.
A budget can be assigned to the Cost Centre and costs recorded against this budget.
Cost Centres
- Go to the following area:
• Latest menu: Data Management > Code Tables
• Pre 2025 menu: System > System Administration > Code Tables - From the Group choose Job and Pay and then select the Cost Centres table
- The screen will display all the existing codes
To create a Cost Centre
- Click Insert New Record
- Enter a Code and a Description
- Click Update
- The new code will be created. To add further information about this code click Edit and you will be taken to the Budget tab
To record a Budget for a Cost Centre
- Click Add new record
- Enter Description and then select the Date From and Date To and record the budget Amount
- Click Save changes
To record a cost against a Cost Centre
- Locate the Cost Centre
- Click Misc tab and click Add new record
- Select the date of the cost enter a Description and then enter the Amount
- Click Save changes
- Click on the Cost Centre tab and click Update
- The values on the Budget tab will be updated and will show the budget Remaining
To Cease a Cost Centre
- Go to the following area:
• Latest menu: Data Management > Code Tables
• Pre 2025 menu: System > System Administration > Code Tables - From the Group of Job and Pay select Cost Centres
- Click on the name of the Cost Centre to be ended and on the Cost Centre tab move the slider to indicate it has been Ceased
- Click Update
- In the Summary view any codes that have been ended will be displayed with a tick in the Ceased? column
Note: A Cost Centre cannot be deleted once it is in use by employee records. Ceasing the code will retain the history of the code and will allow reporting against it but it will no longer be available for selection. |
Cost Centres and Org Unit 1
Cost Centres are selected against the codes set up in the Org Unit 1 code table. The Org Unit 1 name is the lowest level in your structure and will display as this name (eg Department, Team, Sub-team etc).
