Step-by-step guide
This guide explains how iRecruit can be configured for multi entity organisations using separate recruitment streams.

Introduction
iRecruit can support both single-entity and multi-entity organisations as their chosen Applicant Tracking System (ATS). This flexibility is achieved through different configuration options based on each customer's specific requirements.
We work with a range of customers who use iRecruit for multi-entity recruitment using both available methods. Each approach supports the recruitment process effectively, with its own set of features and considerations tailored to different organisational needs.
True Multi-Entity
A True Multi-Entity implementation of iRecruit involves configuring multiple recruitment streams, each operating independently within the system. These streams can have their own unique workflows, communications, and user permissions, and within the Recruiters Portal, they function entirely separately from one another.
This structure also allows for granular configuration via the Admin Portal, where settings for an individual stream such as workflows, picklists, and communications can be updated without impacting any of the other streams. This provides maximum flexibility and control for organisations managing recruitment across multiple business units, departments, or brands.
User Access and Navigation – Recruiters Portal
When a user logs into the Recruiters Portal, they will only have access to the stream(s) they have been granted permission to view. Where required, users can be given access to multiple streams.
For users with access to more than one stream, a picklist is available at the top of the portal window, allowing them to switch between streams. However, users can only be actively logged into one stream at a time.
Reporting
Reporting is accessed through the ‘My Reports’ tab within the Recruiters Portal. Users can generate reports only for the stream they are currently logged into.
It is not possible to report across multiple streams simultaneously. To run a report on a different stream, the user would need to switch to that stream’s portal using the stream selector.
Candidate Portal
All recruitment streams operate under a single, shared Candidate Portal. It is not currently possible to configure separate candidate portals for each stream.
However, through the use of job search filters, it's possible to create hyperlinks that direct applicants to a specific list of jobs for a particular stream or entity. These filtered links can be embedded as buttons or calls to action within the Candidate Portal or on external websites, allowing targeted promotion of roles by entity or business area.
RSS Jobs Feed
An RSS Jobs feed is available as part of iRecruit, this is often used as an embed onto a customer's own careers page that sit on their own website or domain. The RSS feed pulls jobs into the embedded section of the customer's own website in the format shown below. At the point that they click the ‘View Details’ icon they are taken into the details for that job in the iRecruit Candidate portal.
It is possible when the customer's web designers set up the embed of the RSS feed to use a filter, which would allow only jobs selected in the filer to be displayed. Ciphr can configure a field to be output on the RSS feed to assist with this. We can supply example RSS fields if required.
Brands / Concerns
Using a feature within iRecruit called ‘Brands/Concerns’, a single iRecruit stream is configured and shared across all entities. Each entity is then assigned a Brand or Concern, each with its own distinct logo and branding.
Recruiters Portal
In this setup, all users of the Recruiters Portal will have access to all entities. However, it is possible to configure permissions and access controls to restrict users from seeing or managing jobs that are not relevant to them. This allows for a controlled experience while still operating within a single stream.
Reporting
Because all entities exist within the same iRecruit stream, reporting can be run across all entities simultaneously, making it easier to generate consolidated data and insights.
Candidate Portal
There is a single Candidate Portal for all entities. However, the specific logo associated with the relevant Brand/Concern can be displayed on the job listing and job advert, helping to visually distinguish roles between entities, whilst maintaining a unified candidate experience.
