Introduction
Lookup values in iRecruit can be managed via the Admin Portal, these include:
- Title
- Reference Type
- Reason for Withdraw
- Reason for Verdict
- Reason for Reject
- Withdrawal Reasons
- Public Status Types
- Password Reset Secret Questions
- Job Document Types
- Applicant Document Types
How to access the lookup tables
Navigate to your iRecruit Admin Portal:
https://[companyname].ciphr-irecruit.com/admin
(Replace [companyname] with your actual company name)
- Log in using your admin credentials.
- Click on the relevant stream name to proceed.
- Click ‘General Details’
- 'Manage Lookups'
- Click the lookup table that you wish to manage
- Here you will see the lookup values that sit within the lookup table
Add a new lookup value
- Click 'Add an option'
- Populate the:
- Lookup item name (Display)
- Lookup item short name
- Lookup item value
- Click ‘Save’
- You will now see the new lookup item on the list
Delete a Lookup Value
You can only delete a lookup value if it has not been used within the system.
Example:
If you attempt to delete the lookup value "Dr" from the Title picklist, and an applicant has already selected "Dr" when registering, the system will prevent the deletion. This is because removing the value would leave that applicant without a valid title.
If the value has been used, clicking ‘Delete’ next to the item will trigger an on-screen message indicating that deletion is not possible.
If the value has not been used, clicking ‘Delete’ will successfully remove it from your system. It will also be removed from all picklists where the value would have appeared.
Editing a Lookup Value in iRecruit
- Click on the lookup value you wish to edit.
- Update only the display value.
- Click Save
Note: Use caution when editing a lookup value. Changes made will not only update the value in all relevant picklists but will also update all applicant records where the value has already been used. |
