Assign Users
Users with Administrator access rights will see the Assign users page at the bottom of the left hand menu.
- Click on the Manage access button to the right of a person's name to set their access.
- This can also be done in bulk by clicking the boxes to the left of each name or you can select all on page, then click Manage access above the right hand column.
- Access can then be applied in bulk.
- Normal users can access the dashboards but will not see the Assign users page.
Record Group Security
- Analytics adheres to the same Record Group permissions established in the HR system. This means users can only view employee data in Analytics that they already have access to within the HR platform.
- Currently, page or field-level security from the HR system is not supported, so users with access to an employee’s data will be able to see all available information for that employee within Analytics. Future enhancements will introduce more granular controls, allowing administrators to refine access at the dataset and field level.
- What this means as an example, is that you may have roles that can see all employees in an organisation inside Ciphr HR but perhaps not the salary fields: eg a low level HR admin role. In Analytics they would be able to see this salary information.
| Note: Deputy access from HR is not currently supported in Analytics, therefore users will only be able to see subordinate records based on their user role permissions. |
Leavers
- Since Analytics user management is separate from HR, when someone is made a leaver in HR, their account will remain in Analytics. However, if their sign-in account has expired then they will not be able to access Analytics.
- To remove the access from Analytics follow the steps in the Assign Users section to set the access to No access.
| Note: If you have offboarders accessing the system for a limited period after their leave date, then you may wish to add a step into your leaver process to remove Analytics access from any relevant users. |
