“I can’t choose a user role when adding a new employee”
“Only the default user role is available at the Security stage”
“User Role ID dropdown is empty or missing in Add New Employee”
“HR user can’t assign a user role to a new starter”
"You do not have permission to assign a role other than the default one"
Query
Why can’t an HR user select a User role ID at the Security stage of Add New Employee (Workflow)? They can only use the default role or a role is missing.
Answer
To choose a User role ID at the Security stage of Add New Employee (Workflow), the user role needs three things:
- The user roles they can choose must be set to Accessible on the Roles tab.
- User Assignment must be set to Accessible on the Actions tab.
- The role must have Write Access to the User assignment page.
Roles and User assignment not only applies to Role Management Actions, but also to the options in the User Role ID dropdown list, available in the starter workflow.
How to fix it
Complete the steps in this order. You can’t set the page access until the relevant Role(s) and User Assignment has been made Accessible on the Actions tab.
- Go to System Configuration > Role Management, select the user role, then click the Roles tile.
- On the Roles tab, set the user role(s) they should be able to choose to Accessible.
- Go to the Actions tab, find User Assignment, set it to Accessible, as well as any other role management actions the user should have, then click Review Changes > Update to confirm.
- Go back into the same user role and open Pages.
- Search for User assignment. If you can’t find it, check you’ve saved the User Assignment action on the Actions tab with Roles first. Change it to Write Access, then click Review Changes > Update to confirm.
The user can now select a User role ID on the Add New Employee (Workflow) page.
