Check who is in the role
- Go to System Configuration > Role Management.
- Click the role from the list.
- From the Actions list, click Users.
- Tick Users in Role to see who is in the role. Tick Current Users or All Users to include future starters and leavers.
- If anyone is in the role, move them to the correct role first. See HR role management: assigning users to a role.
| Note: The Users page only shows who is in a role now, not who held it in the past, so check with your team if you’re unsure whether a role is still needed. |
Check role dependencies for onboarding or offboarding
- Onboarding: you can’t delete a role that an onboarding role moves starters into. Open your onboarding roles and change the Switch to starter role if it uses this role. See Onboarding user role.
-
Offboarding: the role that leavers move into is set up by Ciphr. If the role you want to delete could be your offboarding role, check with Customer Care before you delete it. See Offboarding user role.
Deleting the role
- Go to System Configuration > Role Management and click the role.
- From the Actions list, click Details.
- Click Delete.
- If anyone is still in the role, a warning tells you that they will have no user role assigned if you carry on. Click Users to see who they are, and cancel if you need to move them first.
- Confirm the deletion.
| ⚠ Important: deletion can’t be undone, and anyone left without a user role can’t log in so will need to be moved into another role if their account is active. |
If you can't delete the role
If you see an “unable to delete role” error message, the role is probably set as the Switch to starter role on an onboarding role. Find that onboarding role, choose a different Switch to starter role, then try again. If you can’t find a cause, raise a request with Customer Care.
