Query
An exemption rule isn't setting a learning activity to Exempt for a specific user, or an activity that was previously Exempt now shows as Started or Not Started. What should be checked?
Answer
Exempt marks a learning activity as Completed even if it hasn't been accessed, and can be set either manually via Manage Training Records or by a Rule.
- In Admin > Advanced > Manage Rules, open the exemption rule and check the Frequency setting
- If the rule has already run for the affected user under a once-only frequency, it will not reapply, even if the user's status has since changed
- Check the user's activity history for the affected learning activity to see if they have launched it after being set to Exempt
- If a manual launch is recorded around the time the status changed, this is the likely cause
Adjusting processes to prevent exemption overrides
- Make users aware that manually launching an activity they're exempt from may change its status
- Where possible, restrict users from manually launching exempted activities, or adjust the rule frequency so exemptions reapply as needed
