How do I find the Per ID for each employee?
Answer
- A Per ID is a unique identifier assigned to each person in HR. Every employee record has a Per ID (including secondary records so people may have multiple Per IDs) and they are stored in the Personal Details table in the database, but is not visible in the HR user interface.
- You can find Per ID by using Report Designer (licence required), however, a quick way to view it is by running the standard Name report and then unhiding the Base Data tab in the Excel report
- You may need the Per ID for reporting, data matching or when importing into existing employee records. If you're submitting an import file, include the Per ID so the data can be mapped to the correct person.
| Note: If you do not provide a Per ID when importing into an employee record then the import can't be processed. If you require an existing record to be updated, please ensure the Per ID is included in your import file so the data can be mapped to the correct row. |
How to find Per ID
1. Name report - quick option
- Go to Reporting > Reports
- Run the Name report (in the staff lists group) - if it's not visible then it will need to be made accessible to your user role via Role management
- In the Excel report, right-click on the Report tab and then click 'Unhide' and select Base Data
- You will see a Per ID column in the base data sheet
| Tip: You can copy the Name report if you wish to customise it and add extra fields without starting from scratch, via Reporting > Report Admin > Report Designer > Insert new record > Design a new report based on an existing report > Name report |
2. Report designer - build a new report with Per ID
- Go to Reporting > Report Admin > Report Designer.
- In step 2 (Fields), select the Personal Details table as the master table.
- Add the Per ID field to your report.
- Run the report to extract the Per ID for each employee.
