Query
A type of absence is missing from the absence calendar/absence planner, or records aren't showing as expected.
Answer
Absences missing from the absence calendar can be driven by staff access or configuration on the page. An HR user with appropriate permissions can check the configuration.
How to fix it
1 - Check the absence calendar filters
Go to Holidays & Absence > Absence Calendar.
In the form on the right-hand side of the screen, the employee will see Filters and Absence Codes sections. The Filters section has several sliders to select, and the Absence Codes section allows specific codes to be selected by ticking the individual rows. Ensure the relevant filters and codes are selected.
| Note: If Maternity or Paternity absence is missing for a particular employee, this may be linked to the employee's Personal Details setup rather than the Absence Calendar configuration, as their sex/gender field must be populated. Check Personal Details Sex/Gender field guidance for that issue. |
2 - Check the absence code restriction
Go to Data Management > Code Tables > Absence – Absence Codes and search for the absence that is not appearing on the Absence Calendar.
Click into the absence code and review the selection in the Self-Service Restriction / Restriction field. Ensure this is set to an appropriate level of access for the employee to review.
Once selected, click Update.
3 - Check the "On Absence Planner?" setting
Ensure the On Absence Planner? slider has been selected.
Once selected, click Update.
4 - Check the Colour
Ensure the Colour is populated and is not the same colour as any other absence code you have configured.
Once selected, click Update.
5 - Check Multi Entity configuration
If Multi Entity is enabled in your system, go to Job, Pay & Reward > Job and Pay, search for the employee, click into the current Job and Pay record, and note the value held in the Multi Entity field.
Then go to Data Management > Code Tables > Absence – Absence Codes, search for the absence code, and select Multi Entity.
Click onto each Entity box to add the code to that Entity.
Once selected, click Update.
6 - Check the system configuration settings
If steps 1 to 5 don't resolve the issue, go to System Configuration > System Configuration and filter on the Absence Planner Group Name.
There are two options that determine which absence types are displayed on the calendar, and which types are enabled by default. Click into the rows to ensure they meet your requirements, then click Update to save any changes.
Finally, if any of steps 2 to 6 required a change, go back to step 1 to check the absence code visibility and re-check the absence calendar filters, as a newly visible code may still need to be selected there.
