This guide will show you how to publish a Company document within your organisation.

Overview
You can publish Company documents to provide useful information for your users to download such as policies/guidelines that don't require acceptance.

The documents that are made available are subject to Role Management security.
All documents must be in a PDF format.
To publish a Company document
- Go to the following area:
- Latest (left-hand) menu: Company > Configuration > Company Documents Configuration
- Pre-2025 (top) menu: System > Document Configuration > Company Documents

A list of files that have already been published will be presented. The example shows non-contractual policies that don't require formal acceptance:
| Note: If you have Multi Entity configured you can control which Documents relate to each Entity. See Multi Entity section for more details. |
- Click Insert New Record
- Enter a Document Description and then click on Select Files to locate the file to be used (you can also drag and drop the file over the button)
- Click Update
- Once the document has been uploaded you will need to navigate to Role Management and select the relevant User Role(s) you wish to be able to download the Company Document. Within the Actions select Published Documents and make Accessible the relevant Company Document the User is to download, click Review Changes and Update
- The file will now be available to select and download from Company Documents
Multi Entity
- If you have Multi Entity configured, restrictions can be applied to the Company Documents page
- Firstly, the Company Documents Multi Entity page must be made accessible (Write Access) to the relevant User Roles via:
- Latest (left-hand) menu: System Configuration > Role Management > [select User Role] > Pages.
- Pre-2025 (top) menu: System > Security > Role Management
- Select the User Role then Pages

- Once the new page is accessible, go to the following area and you will see the Multi Entity column where you can apply restrictions as necessary against the relevant Company Document(s):
- Latest (left-hand) menu: Company > Configuration > Company Documents Configuration
- Pre-2025 (top) menu: System > Document Configuration > Company Documents
