This relates to the Work Patterns code table in HR. Non-working days on a shift work pattern should display in grey in the See Who's Off and Absence Calendar charts. If they're not, it's likely the pattern has hours incorrectly recorded against those days.
Answer
If hours are entered against a day in the work pattern, the system treats it as a working day and won't display it as non-working in the absence planner. Zeroing hours in the non working days corrects this.
How to fix it
1. Check employee's job and pay
- First, check the affected employee's work pattern on their current job and pay record to ensure it is correct
- Amend as necessary but if the pattern is correctly assigned then you need to check the setup of the work pattern
2. Check work pattern code table
- Go to Data Management > Code Tables.
- Select the Job and Pay group, then open the Work Patterns table.
- Find and open the relevant work pattern.
- On the Work Pattern Shifts tab, find the days that should be non-working.
- Set the times to 0:00 to recalculate the hours to 0 for any non-working days.
- Click Save changes then click on the Work Pattern Details and click Update to save the overall code.
- Click Summary to go back and check that the average weekly hours have updated to the correct amount.
- Non-working days will now display correctly in the See Who's Off and Absence Calendar/Planner charts.
