Answer
- Basic pay within an employee's Job and Pay record that has a discrepancy in the pro rata figure is usually caused by a mismatch between the number of decimal places used to calculate FTE and the number displayed on screen - the true FTE figure behind the scenes may be longer than what you can see.
Example
- When changing an employee’s hours the results that you see in the Basic Pay field of the Job and Pay area may not be what you expect if the employee is paid on Spine or Rate type Grade. Check the following areas if you find a discrepancy.
- The current information for an employee is displayed in the first image. As shown the FTE is currently 1 and the Basic Pay is £492.48 per week.
- As the hours are changed to 20 the FTE becomes 0.53. The pay you would expect to see therefore is £261.01 (ie 492.48 multiplied by 0.53). The Basic Pay is, however, actually £262.66 because in this example the true figures are 0.533333333 multiplied by 492.48.
- The difference is due to the calculation being based on the FTE value to the number of decimal places as defined in the System Settings area, but this may not necessarily be the same as the decimal places displayed, which is also defined in this area so could cause discrepancies
- It's recommended to keep the calculation and display decimal places the same if possible for clarity
How to fix it
- Go to System Configuration > System Settings > System settings tab
- Check the Decimal Places for FTE Calculation and Decimal Places to Display for FTE fields
- If the two values differ, update them so they match
- Return to the affected employee's Job, Pay & Reward > Job and Pay record
- Open the Pay Details tab and click Recalculate FTE
- Check the Basic Pay figure is now as expected
