Query
"FTE not calculating"
"Incorrect FTE"
"FTE wrong"
"FTE calculation error"
"FTE not updating"
"Wrong FTE on Job and Pay"
Answer
- If FTE isn't calculating as expected, it's likely that the wrong calculation method is being used
- If this is only affecting certain employees it then it's likely the the Variable calculation method isn't enabled - meaning the method in use is hidden and can't be checked or corrected at record level
- If your default method in System Settings has changed since records were created, some employees may still be using a legacy method that's producing the wrong result
How to fix it
- Go to System Configuration > System Settings and check the Calculate FTE? field
- If it's not set to Variable, select this from the dropdown - this makes the FTE Calculation Method visible on each employee's Job and Pay record going forward
- Set your Default FTE Calculation Method in System Settings to the method that applies to most employees.
- Go to the affected employee's record: Job, Pay & Reward > Job and Pay
- Open the Pay Details tab and check the FTE Calculation Method field - confirm it matches the correct method for that employee.
- If it's wrong, update it to the correct method and click Recalculate FTE
- Check the resulting FTE and Basic Pay figures (if linked to Grade Rate or Spine) are as expected
| Note: If FTE is still incorrect after checking the calculation method, the Hours or Weeks in Year on the Job and Pay record may also need reviewing against the respective calculation method. See FTE Calculation Methods for more details. |
- Repeat above steps for any other affected employees
| Note: Changing the Calculate FTE? setting in System Settings only affects new records inserted after the change - it won't update existing ones automatically. You'll need to review and correct existing records manually. If you need to update records in bulk, contact Customer care. |
