To import new benefits you will need to use the benefits templates (available at the end of this article). Go to Employees > Bulk import > + New import.

- Your reference (optional) - the name of this import which ill appear in the Employee bulk import list
- New employee behaviour - as you are not creating new employees with this import please select Ignore these records, this will ignore any records which have incorrect/ non existent Employee/ Pay ID
- Existing employee behaviour - leave the default Update system values

Further Guidance
Reference - we advise to always add a reference. You can overwrite an earlier imported benefit by using the same reference. This field is visible only on the import file so, please keep your original import file in case it needs to be overwritten in future.
Cost or Amount Forgone - the system spreads this amount across the remaining pay runs in the tax year.
Example (Monthly Payroll):
- If you add 200 in April, there are 12 monthly pay runs remaining.
The monthly benefit value will be: 200 ÷ 12 = 16.67 - If you add 200 in January, there are 3 monthly pay runs remaining.
The monthly benefit value will be: 200 ÷ 3 = 66.67
| Note: If you previously added benefits manually in the system, they can’t be overwritten by an import. Please update those entries manually. If the benefit value is likely to change for the new tax year, we advise to set the Year End behaviour to None - this allows you to import the new benefit amounts for the new tax year. |
