This guide explains how to run reports with the new Reporting experience enabled.

Reporting generator

  • The generator is a background service that improves report performance as this allows you to run a report which will go into a queue so you can leave the report running and continue with other work until it is ready
  • There is one overall queue so multiple users could be adding to it at the same time but you will only be able to see reports that you have run in the My Generated Reports page (formerly Reporting View)
Note: To use the generator, access must be granted to the My Generated Reports page for relevant user role(s) that need to generate reports via Role Management [select user] > Pages.
  • Reports can be run in the usual way via Reporting > Reports and you can wait as normal but a message pop-up will explain the report is queued waiting to start running
  • Once ready, a Download button will appear
  • Alternatively you can leave the Report process, to continue working or start other reports to add to the queue

  • An email will be sent to the user to let them know when the report is ready.  The email contains a link to Download the report

Note: The email is enabled by default and cannot be customised or branded 

Once the report is ready, users can download it anytime from the My Generated Reports page or directly via the link sent to their email.

Report designer

  • With the Reporting Generator enabled, you will see some different options when editing reports in Report Designer (licence required)
  • Edit Report and Check in/Undo check out buttons.  All the template processing buttons will now appear in the top right section of the screen.

  • When saving a report, a message will advise that the report template has been queued successfully.  Click OK and a message will advise when the report is ready. 

  • The Download report button replaces the Edit Report button to be able to edit the template in Excel

  • When running a report, it will be queued in the same way as running it from the report menu so you can leave the Report Designer page to return later if needed
  • A new button My Generated Reports button will take you to the page which will show the Reports you have run
  • You can check the Status of your reports and a history of what has been run and the far right column will show options for the report:
    • Queued - report is in the queue waiting to generate 
    • Remove – report is Queued and can be removed from the queue at this stage
    • Running - report is in progress 
    • Ready to download – report is Ready to download and is accessible
    • Downloaded - report has been previously downloaded 
    • Report Designer – report has been run from the designer so you can click the button to return to the design page.  A tool icon will also appear in the Is Design column

Notes: 

  • My Generated Reports does not automatically refresh so will need to be reloaded to view the latest Status
  • If your report has not been Enabled or User Role permissions have not been granted once enabled, an Access Denied message will show on the report in My Generated Reports.  For more information on granting report access please see the related guide
  • The Specialist Reports export menu is not included in the Reporting Generator
