Producing revised Journal reports
Overview
The RTI Journal should be checked and sometimes, may need amending prior to submitting data to HMRC. All the current company journal records will be available to view and amend as necessary.
| Note: If you have several companies in Accord Payroll with the same PAYE reference then reports will need to be edited/printed separately in each company. There will, however, be one consolidated FPS/EPS (full/employer payment submission) from one company. |
Creating a new Journal record
Go to Edit RTI Journal via either route below:
- Home/Utilities > Other Utilities > RTI > Edit RTI Journal
- Calculations > RTI Processing
The RTI journal screen will be presented
- Click Add New – a screen will be presented of employee records
- Select the required employee
Click Yes to confirm the reload of YTD data for the selected employee

Notes: Only YTD data copied from employee YTD accumulators will be populated. All period payments/deductions will be 0.0. The function can be used, for example, after manual correction employee accumulators. Note: If there was no record for the employee in the journal then a new record will be created. If there was a pre-existing record in the journal it will be replaced. |
Deleting a Journal record
- Select the required line(s) in the Journal and click Delete
- Confirm the deletion when prompted
| Note: Multiple or all journal lines can be selected/deselected using the column to the left of Payroll code. |
Editing a Journal record
- Click on the Journal line to be edited and click Edit or double click on the journal line
- Make the required changes to the editable fields. Greyed fields with YTD amounts are not editable
- Select the appropriate reason from the drop down list of options

Note: If an attempt to create the FPS submission file is later than the actual payment date a warning message will be presented stating that the ‘Late reporting reason is not specified’. If none of the options is applicable then leave the Late Reporting Reason field blank. |
- Click Save once you've completed the changes
Editing multiple Journal records
The following actions can be taken on multiple record selections:
- Change Payment Date
- Clear BACS Payment Amount, Sort Codes, Hash Codes, Set Payroll ID Change Flag (for new Payrolls only)
- Use Old Payroll ID from Previous Provider (for new Payrolls only)
- Clear Old Payroll ID in RTI Journal on Selected Records (for new Payrolls only!)
- Clear PAYE (for PAYE exempt companies only)
- Set Late Reporting Reason
Select the records as required using the tick box option on each employee line. Once they are selected, then click Edit.
If you want to apply the change to all records, click on Select All, then click on Edit.
Select the change to be applied and then click Start
Producing revised Journal reports
The Print/Export/Email button provides access to a number of reporting options:
- RTI Journal Period Payments Report
- RTI Journal Starters Report
- RTI Journal Leavers Report
- Print RTI Journal Leavers Address Labels
- Print RTI Journal Leavers P45s

Note: The Print button from the RTI Journal provides the additional option of printing/reprinting multiple P45s for selected employees. For more information on running the RTI Journal Reports please see the linked guide. |
