This guide will show you how to use Training Record/Details to view and capture training an employee has attended or is due to attend.

Overview
Training that an employee has attended or is due to attend is recorded in the Training Record/Details area.
Employees can be booked onto an Event that is for a Course which has been set up in HR, it can be for a Course which has no events, OR it can be for an ad hoc training activity which is not set up as a Course or an Event.
Any training reports that are run or created will be more accurate and more inclusive it the training activity has been set up in the first instance as a Course or an Event. Data that is recorded on an ad hoc basis is more likely to have typing or spelling errors in it and could be a different representation of something that is already set up as a Course or Event. Eg Company Induction vs Organisation Induction vs Welcome induction – they may all be the same thing but recorded in different ways making reporting more challenging and more likely to be less accurate.
Similarly, if you are recording Development Needs and want to be able to see who has a need for specific training, then it is easier and likely to be more encompassing if activities that have been recorded in HR are selected.
Training Record
- Go to the following area:
- Latest (left-hand) menu: Performance & Development > Training Record
- Pre-2025 (top) menu: Talent & Development > Learning & Development > Training Details
- The screen will display the training that an employee has attended or is due to attend
- The record is historical and therefore the organisation unit (department) that the employee was in at the time of the training activity will be visible
- The records can be sorted and or filtered using the column heading controls
- Training entries may, dependent on your Verification Settings, be subject to manager or HR approval, in which case a plus sign will appear adjacent to the line entry
- Click on an entry to expand the view and information relating to that training activity
Recording training for a course which has no events
- Go to the following area:
- Latest (left-hand) menu: Performance & Development > Training Record
- Pre-2025 (top) menu: Talent & Development > Learning & Development > Training Details
- Click Insert New Record
- Click on the magnifier alongside the Course field
- Using the search options locate and choose the course that the employee is attending or has attended and click Select
- The Training Details information will be populated with the default data that is associated with that Course template in the Course Bank
- Since there are no Events to select for this Course (in this instance) you will need to enter the Start Date. The End Date will be calculated based on the Duration
- Click Update
- The training record will be added to the training history for the employee
Recording training for a course which has events set up
- Go to the following area:
- Latest (left-hand) menu: Performance & Development > Training Record
- Pre-2025 (top) menu: Talent & Development > Learning & Development > Training Details
- Click Insert New Record
- Click on the magnifier alongside the Event field
- Using the search options locate and choose the event that to record attendance
- The Event screen will display details about the specific event chosen and on the Related Events tab will show any other Events for that Course that have been set up enabling a different date to be selected should the original event be full for example
- Click Sign Up to book yourself onto the event, or if you have access to other records, click Nominate to view a list of employees to book them a place
| Note: The book icon will enable you to View Course Brochure. This will need to have been set up on the Course. |
- When prompted, confirm the booking and a pop-up message will appear. Click OK
- The training record will be added to the training history for the employee
Booking training for a course which has events set up using Find Training & Events
- Go to the following area:
- Latest (left-hand) menu: Performance & Development > Find Training & Events
- Pre-2025 (top) menu: Talent & Development > Learning & Development > Events Finder
- Using the search options locate and choose the event to be booked
- The Event screen will display details about the specific event chosen and on the Related Events tab will show any other Events for that Course that have been set up enabling a different date to be selected should the original event be full for example
- Click Sign Up to book yourself onto the event, or if you have access to other records, click Nominate to view a list of employees to book them a place
- When prompted confirm the booking and then a confirmation of the booking will be presented
- The training record will be added to the training history for the employee
Recording training which has no course or event – ad hoc training
- Go to the following area:
- Latest (left-hand) menu: Performance & Development > Training Record
- Pre-2025 (top) menu: Talent & Development > Learning & Development > Training Details
- Click Insert New Record
- Free type the Title and any other information relating to the training activity that the employee has attended or is attending
- Click Update
- The training record will be added to the training history for the employee
| Note: The Withdraw button will enable you to remove the delegate from the chosen training activity and record a reason for the withdrawal. |
| Note: If the chosen training activity has any associated Question Set attached to the training, then an additional tab with the Evaluations for completion will be presented on the training record. |
