Bulk Furloughing will enable employers needing to “furlough” groups of employees to carry out the process in bulk and to accommodate the employee records on HR.
The Bulk Furlough process will guide you through a series of steps to facilitate the process.
To bulk Furlough a group of Employees
- To bulk furlough a group of employees, go to the following area:
- Latest (left-hand) menu: Starters & Leavers > Leavers > Bulk Furlough
- Pre-2025 (top) menu: People Admin > Leavers > Bulk Furlough
Click on each step to learn more:
Step 1 - Start
- Click Select to create the subset of records to be furloughed
- Select the furlough date for the subset
- The screen will display both the current and the adjusted basic pay and also indicate whether the employee has a future job and pay record
- Adjust the Percentage of Basic Pay and the Maximum Basic Pay. This will be applied to both the current and future job and pay records
| Note: Changing the Furlough Date, Percentage of Basic Pay or the Maximum Basic Pay will refresh the page to show the recalculated value for basic pay |
- Basic Pay - the basic pay value can be adjusted as required or left to remain at the original value
- Percentage - will calculate basic pay based on the percentage value that is entered. Decimal places will be rounded according to the defined currency setting in Code Tables then from the Job and Pay Group select the Currencies table
- Click on the currency in question and the decimals can be found on the Currency Details tab
- Maximum Basic Pay - if a value is entered it will override the percentage if it is less than the calculated percentage amount. A maximum basic pay value should be entered as the maximum value for the pay basis of the employee ie If the basic pay is annual then the value should be the annual amount
- Click Next to move through each of the wizard stages
| Note: The Percentage of Basic Pay and Maximum Basic Pay will be set to the system defaults of 80% and £30,000. These defaults can be changed by contacting customer care |
Step 2 - Payments
- Future payments for the selected subset of employees will be displayed and can be deleted as required
Step 3 - Allowances
- Current allowances are displayed with the ability to close them as of the day prior to the furlough date (unless it is the same day)
- Future allowances can be deleted as required
Step 4 - Absences
- Current absences are displayed with the ability to close them, the end date will be the day prior to the furlough date (unless it is the same day)
- Future absences can be deleted as required
Step 5 - Training
- Training that is ongoing can be suspended with an end date set as the day before the furlough date
- Future training entries are listed and can be deleted as required
Step 6 - Complete
- A summary of all the changes will be displayed
