Step-by-step guide
This guide will show you how to change the Record Group for a subset of employees in bulk.

Introduction
When a new employee record is created you have to put them into a Record Group.
This Record Group is then visible and if required, changeable on the Employment Details tab which can be accessed through:
- Latest (left-hand) Menu: Personal > Personal Details
- Pre-2025 (top) Menu: Personal Data > Personal Information > Personal Details
Although it is possible to change the Record Group for a specific employee there may be a requirement to change the Record Group for a selection of employees at the same time.
This can be achieved using Bulk Change.
To change the Record Group for a subset of employees
- Go to:
- Latest (left-hand) menu: Data Management > Bulk Change
- Pre-2025 (top) Menu: People Admin > Tasks > Bulk Change
- A screen displaying a three step process will be displayed
Step 1
- Click Select person subset
- The subset screen will be displayed enabling you to select the records for whom the change is to be made. Follow the subset steps
Step 2
- The screen will display your selected employee records in the Step 1 column
- In Step 2 there is a choice of Action or Field
- Since it is the contents of a field that is being changed click Field and from the
drop down list select the field of Record Group - From the Change to options select what the new record group will be for the
selected group of employee records
Note: The new Record Group must have already been created in order to complete this • Latest (left-hand) menu: System Configuration > Manage Record Groups Please also note that bulk changing any field should be carried out with caution. Ensure that you have checked the subset of records and the change that is being applied. |
Step 3
- For this particular change there are no processing options so Step 3 is not required
- Click Finish
- An on screen report of the changes will be presented. Click Export to PDF if a hard
copy of this information is required
