Overview
Safeguarding Templates can be recorded against a job to ensure that when an employee is put into that job the templates are automatically assigned to the employee ready for completion.

To assign Safeguarding Templates to a job
- Go to Job, Pay & Reward > Job and Pay Configuration > Jobs
- Find the job that you want to add a safeguarding to using the filtering, sorting or grouping functions and then click on the on View and select Job Safeguarding Categories
- Click Insert New Record
- From the Safeguarding Category dropdown pick the category of templates that you want to assign. The job to which they are being added is displayed just above this
- The individual checks within that category will be displayed on screen then click Update

Note: Templates are applied to jobs through categories, rather than being assigned individually. For example, if all roles require a DBS check, a New Starter check, and an Onboarding check, these templates can be grouped into a single category and applied to the relevant jobs. If only certain roles need a DBS check, you can place the DBS template in a separate category so it’s only assigned where needed. |
- Further template categories can be added using Insert New Record as required for that job
- Click Summary to return to the Jobs table
What happens when you put someone into a job role with safeguarding attached
- Choose Job, Pay & Reward > Job and Pay
- Click Insert New Record
- Insert the job and pay record as normal and select the job role using the magnifying glass icon alongside the job title
- When you click Update, you may receive some prompts informing you of changes that are being made as a result of selecting that role. You will see a prompt containing Other Updates. There could be a variety of things listed in this but you will also see the safeguarding that has been added
- Click OK
- The template has been added to the employee record
- The question mark in Status denotes that it has not been completed with data and the tick in the Job Related column indicates it is related to the role as opposed to a safeguarding category entered directly against the employee record
- Click on the line entry to view, edit, or enter data for each individual check
