Step-by-step guide
This guide will outline how to download and extract data files Ciphr have provided either on an ad-hoc basis or as part of the Offboarding process.

Requirements
In order to access the data extract, the following are required:
- Access to a mobile phone to receive the Data Extract password
- Access to Ciphr's SFTP to be able to download the Data Extract
- 7-Zip must be installed (available from https://www.7-zip.org/) in order to extract the files. Winzip/Windows file extraction will NOT work. This may require assistance from your IT teams

Instructions
To action a Data Extract, please use the following steps:
- Raise a ticket with Ciphr Customer Care
- Specify the date the extract is required
- Primary Contact Approval should be included in the request, along with a valid mobile number and email address
- Ciphr will confirm the date the extract will be provided, and the SFTP account/folder to which the files will be uploaded via the ticket
- On the agreed date, the file will be uploaded and the password for this file will be sent to the provided mobile number
- Note: This password is NOT a password that can be used to access the SFTP site
- Access Ciphr's SFTP site with your existing credentials
- The SFTP can be accessed via an Internet browser, or a dedicated SFTP client like Filezilla
- If you require assistance accessing the SFTP site, or need the password resetting, please contact Ciphr Customer Care
- Navigate to the required folder:
- Browser View
- Filezilla view
- Select the files to start downloading
- Once downloaded, navigate to your download location
- Right-click the extract file and choose 'Open With > 7-Zip File Manager'
- Select the folders and choose 'Extract'
- You will be prompted to choose the location to extract the files.
- A password prompt is then displayed
- Enter the password sent via text message and click Ok
- The required files will be extracted to your chosen location
- Repeat these steps for other extract files downloaded - as indicated in the screenshots there may be several, e.g.:
- Company Drive
- Homedrives
- CSV extracts of the database tables
