In some years, usually to mark a special event or occasion, there is an additional bank holiday. This guide provides some considerations and guidelines for managing this within HR.
The approach to managing this additional date will vary dependent on whether the employee’s holiday entitlement includes public holidays and whether the employee works public holidays.
There are two options to handle the additional day(s):
For full details on Public Holiday Types please see the linked guide.
Extra day recorded in public holidays code table
- Dependent on the configuration of holiday entitlements there are a different scenarios which may present in relation to a year in which there is an additional bank holiday
| Includes Public holidays? (Holiday Entitlement) | Manual booking required? |
|---|---|
NO |
HR will automatically recognise the date as a public holiday (if entered in the public holiday types code table) and when absences are booked that span that date, it will ignore the public holiday There is no requirement to book the date of the public holiday as leave Note: Pre-existing absences spanning the additional public holiday date will not update automatically so will require a manual amendment/refresh to discount the new public holiday |
YES |
The extra public holiday date will not affect Holiday Entitlement so they will need to be increased accordingly, or a manual adjustment could be recorded if no pro rata adjustments are required Employees who do not work on the date of a public holiday will need to book the date as leave if it falls within their work pattern The manual booking could also be completed via Bulk Absence - see linked guide for more details |
Extra day not in public holiday code table
- If the additional public holiday date is not recorded in the Public Holidays code table then the additional leave will need to be allocated to employees’ entitlement for the employee to book as required OR Bulk Absence could be used to record an entry for employees for this date
- If the employee holiday entitlement is not changed then a new absence code could be created which is not a Holiday type and Bulk Absence used to record the absence against employee records
- Please see the linked guides for more details
