This guide will help you with configuring training evaluations and attaching them to courses.

Introduction
- The Training Evaluations functionality in HR can be used to publish questionnaires to delegates prior to or on completion of attendance on a training event
- There are multiple steps to the configuration and use of the Training Evaluation process
| Note: In order to use Training Evaluations, other aspects of the training functionality need to have been set up in HR first, such as the Course Bank. |
To configure Training Evaluations
- Go to the following area:
- Latest (left-hand) menu: Performance & Development> Performance & Development Configuration > Training Evaluations Configuration
- Pre-2025 (top) menu: System > Talent Management Configuration > Training Evaluations Configuration
A series of tiles will be presented which represent the different elements to be configured
Definitions
- Sets comprise of all the questionnaires that you might want to use in association with a specific type of course. Eg IT Training might have a set of pre-requisites to be completed, have a pre-course assessment, and then a post-course evaluation. The questionnaires are formed into Categories and then the Categories comprise a Set
- Categories are attached to Question Sets. The category is used to determine when the distribution of the evaluation takes place i.e. x number of days before or after the training event
- Multiple Choice Options are specific response mechanisms with pre-configured selections to a Question. A Question can be set up as a multiple choice and then the responses selected from the Multiple Choice Options. This enables the set of options to be used against multiple questions where the responses could be the same, eg Yes or No
- Questions enables you to create a bank of evaluation questions. These Questions can then be used in one or more Categories
- Courses form the profile template for any happenings of that particular training. A default Question Set can be attached to a Course so that delegates attending that training are sent the required evaluation
Multiple Choice Options
- Click Multiple Choice Options
- The screen will display all the Multiple Choice Options that have already been set up
To create a Multiple Choice Option
- Click Add new record
- A new line for data entry will appear
- Give the new option a Code and then click Update
- Click the triangle which appears to the left of the newly created option and then click Add new Record
- Enter the possible multiple choice answers using Add new record for each option
Questions
- Click Questions
- The screen will display all the questions that have already been set up

Note: Before creating any new questions it is a good idea to see if there is already one in the question bank which may meet your needs. The filter options at the top of the screen enable you to search through the question bank. |
To create a new Question
- Click Add new record
- A new line for data entry will appear
- In the first box enter the question – this is the text that will be presented to the delegate
- Then select the type of response that you want the delegate to be able to use:
- Free Text – the delegate can type a response
- Range - the question can be configured so there is a Min Text value (eg easy) and the associated value of that rating, then the Max Text value eg too hard and the associated value of that rating
- Multiple Choice – will enable you to select the pre-configured multiple choice question which has a selection of pre-configured answers and to set the default answer. See the section on Multiple Choice Options
- Rating – will offer the delegate a star system for selection
- There is a slider on each question type which can be switched on to indicate that the question is in relation to the Tutor
Categories
- Click Categories
- The screen will display all the Categories that have already been set up
To create a new Category
- Click Add new record
- Enter a Code a Description and from the drop down list select who the evaluation will be distributed to
- Finally enter the number of time units before or after the training event that the Question Set should be sent out
- Click Update
Sets
- Click Sets
- The screen will display all the Sets that have already been set up
- Click on the triangle adjacent to the set to display the Categories attached to the set
- Click on the triangle adjacent to a Question Category to display the questions that are being used
To create a new Set
- Click Add new record
- Enter a Code and a Description
- Click Update
- The Set will be created and contain the Categories but within the Categories there will be no Questions
To add a Question to a Category
- In the example below a new Set has been created called 'AIT'
- That Set has been opened and the triangle alongside is now pointing down rather than to the right
- The Question Categories are displayed
- The category 'Pre Course Questionnaire' has been opened and again the triangle is now pointing down to indicate this, rather than to the right. There are no questions in this category at this time
- Click Add new record
- Select the Evaluation Question, Question Category, and the Order
| Note: There is the ability to filter which may make selection of the questions/categories easier depending on how many you have. |
Courses
- Click Courses
- The screen will display all the Courses that have already been set up
| Note: Question Sets can be associated with a course when the course is set up in the Course Bank. See the linked guide for more details. |
To attach a Question Set to a Course
- Click Edit alongside the course title to which you wish to add a Question Set
- From the dropdown list of Question Sets select the appropriate set and then click Update
