Overview
Preview shows exactly how your notification email will look while you're building it. You don't need to save it or send a test.
Notifications automatically use the branding set up in your Ciphr HR system. If your organisation has more than one entity, each email uses the branding of the entity the employee belongs to, and you can preview every version.
How to preview a notification
- In Manage Notifications, create a new notification or open an existing one
- Enter your subject and message. Add any tags you need
- Click Preview. You'll see the email as recipients will receive it, with your branding, subject, message and signature
- Close the preview, make any changes, then preview again. Repeat until you're happy
Previewing doesn't save or send anything, so you can use it as often as you like.
Branding for multi-entity organisations
If you have more than one entity set up with its own branding, notifications use the branding of the employee the email is about. This is chosen automatically when the email is sent, so you only need to build one notification.
Example: your organisation has two entities, A and B, each with its own branding. You set up one starter notification for all staff.
- A starter joining entity A gets an email with entity A's branding
- A starter joining entity B gets an email with entity B's branding
To check each version, open Preview and choose a brand from the list, such as your default branding or a specific entity's branding. Preview each one to make sure your message works with every design.

Preview or test?
| Preview | Test mode | |
|---|---|---|
| What it shows | How the email looks | That the email sends at the right time to the right people |
| When you see it | Straight away, on screen | After the next daily run, usually the following day |
| Who sees it | Only you | Your test recipients from global settings |
| Uses real employee data | No - uses fictional data only | Yes, for records that meet the rule |
| Note: Use Preview while you write the email. Use Test mode before you go live. |
