This guide shows you how to remove a benefit (including a car benefit) from an employee's record in Payroll Cloud, using private medical treatment or insurance (PMI) as a worked example. The same process applies to all benefit types.
Before you start
Before you delete a benefit, make sure that:
- The benefit has only appeared on open pay runs. Once a benefit is included in a closed pay run, the tax has been reported to HMRC and it can no longer be deleted
- For car benefits, the car has not yet been included in a successful Full Payment Submission (FPS) to HMRC.
- You have permission to edit employee benefits in Payroll Cloud
- You are viewing the correct employee and tax year
Delete a benefit
Step 1: Open the employee's Cars & Benefits tab
Go to the Employees menu, select the relevant employee, then open the Cars & Benefits tab. You will see a list of the benefits currently recorded against the employee for the open tax year.
Step 2: Choose the benefit to delete
Find the benefit you want to remove, click the burger menu icon to the right of it, and choose Delete.
Step 3: Confirm the deletion
A confirmation box appears asking you to confirm the removal. Type delete into the box, then click Delete to remove the benefit from the employee's record.
The benefit is removed from the employee's record straight away. If it had been added to any open pay runs, it is also removed from those automatically, so you do not need to make any further changes.

Note: You can only delete a benefit while it is still in an open pay run. Deletion is blocked in the following situations:
If neither of these conditions applies, you can delete the benefit as normal. If you do need to correct a benefit that can no longer be deleted, please get in touch with our support team for guidance on the best way to adjust it. |
Common issues
- This benefit cannot be deleted as tax has already been paid on it: The benefit appears in a closed pay run and has been reported to HMRC, so it cannot be removed. You will need to make an adjustment instead of deleting it.
- Car cannot be deleted as it has been sent in an FPS: The car has already been included in a successful FPS submission to HMRC and can no longer be removed from the record.
- The Delete option is not visible: Check that you have permission to edit employee benefits, and that you are viewing the correct tax year on the Cars & Benefits tab.
- The benefit is still showing after deletion: Refresh the Cars & Benefits tab. Any open pay runs that included the benefit are updated automatically when you delete it.
