What’s changing?
- We’re introducing a new UI and menu integration between HR and LMS. This update is designed to simplify navigation, improve branding control, and deliver a consistent experience across your Ciphr suite
- This LMS update requires minimal preparation. It’s mainly about understanding what’s new and sharing the update within your organisation, ensuring a straightforward process
Benefits of the new experience
-
Deep links for seamless access
Links in emails (deep links) will take users directly to LMS activities and pages without requiring them to log in to HR first - making access faster and more convenient -
Unified menus across HR and LMS
The full LMS menu will be available within HR, and the HR menu will be accessible within LMS. This benefits both employees and administrators by providing a consistent experience and easier navigation between pages -
Consistent branding across HR and LMS
Your organisation’s branding will carry over from HR to LMS, and you’ll gain the ability to manage LMS branding directly -
Improved visual integration
The HR logo will automatically display in LMS for a cohesive experience, and future updates will allow an additional LMS logo - so each system can reflect its unique identity within your brand -
Real-time support for users and admins
In-app guidance within LMS will follow, providing immediate help, reducing training time and improving efficiency for everyone -
Simpler workflow
The LMS will open within the same browser tab, reducing clutter and making navigation smoother
Changes to note
-
Streamlined design for better consistency
Background images will be removed to ensure a clean, modern interface that aligns with HR branding -
Unified branding standards
Fonts and colours will align with your HR branding for a consistent experience across all your systems -
Refreshed activity thumbnails
We’re introducing new default images for Activity tiles, providing a fresh, modern aesthetic to align with the new experience. Don’t worry these won’t overwrite any you’ve uploaded yourself -
Single Sign-On for enhanced security
All LMS users will log in via Ciphr Sign-In, simplifying access and improving security across your suite.
When will our system be updated?
- We’re currently aiming to roll out the new LMS UI and menu integration in Q1 2026
- We’ll share the date of your upgrade closer to the release so you’re ready
Preparation
There are a few tasks which will help you prepare for the change.
- To benefit from the integrated experience, your users need to switch to the new HR user interface and experience
- Ahead of the upgrade, let your users know that the way they access the LMS will change:
- A new LMS icon (below the HR icon) will be available to access the LMS menu and pages
- The ‘Online Learning’ sub-menu will be removed (within the HR menu), as the page links will not work once the LMS has been upgraded.
- You can change the label of the new LMS icon. You can do this anytime, before or after the upgrade, in HR via Profile > Ciphr Sign In Admin > Branding configuration, as well as editing the full name of your LMS which will display at the top of the LMS menu
| Note: A Global Admin Licence within the Sign in area is required to view the Ciphr Sign in Admin/Settings page and associated configuration areas. A system supervisor with access to this area can grant licences as required. |
After the update - LMS URL change
You can prepare for both of the below in advance.
However actioning these changes before the update will cause the links to break, so only action afterwards.
As part of the integration, the LMS URL is changing as it becomes part of a single-hosted application
Ciphr will forward any old LMS URLs to the new LMS location, so that bookmarked pages and intranets links etc will still work
However, there are two exceptions below where this is not possible, and you may need to take action if either applies to your LMS:
1. API URL change
The LMS API URL is changing and we have been unable to redirect endpoint requests. The API itself is unaffected, and API Keys remain the same, but you will need to change the URL targeted
|
⚠ Important: After the update your teams will need to change the URL they target to: [customer name].app.ciphr.com/webapi/ |
2. Course providers who list your LMS URL to provide their service
- While we can redirect internal traffic from the old LMS URL to the new one, we can’t update any URLs held by external providers. For example, if you use EFLH courses or other AICC content from an external supplier, they will still have your original LMS URL configured on their side so will need to update this
| ⚠ Important: After the update you will need to reach out to your contact at the course provider and let them know your LMS URL has changed to [customer name].app.ciphr.com/lms/ (Note: This is the same URL as your HR system, with the addition of /lms/ ) |
What will users see in the new experience?
- Selecting the new LMS icon will display the LMS menu, whether the user is viewing an HR page or an LMS page.
- The LMS now has the same top-bar styling as HR and the branding, logo, font and colours you set up are carried across.
- All central page content remains the same; so any content, images etc you've added to the pages will not change. Only the standard LMS interface elements (including widgets & items) will pick up the styling you've set within Ciphr Sign In Admin > Branding configuration.
