You may be working in an environment - eg a school, where you pay your employees an annual salary but due to breaks in the year you need to pro rata that salary and calculate the amount they should be paid for the time they are working.
HR has the functionality to cater for this scenario but requires some initial additional configuration.

System Configuration
- Choose (System >) General System Configuration > System Configuration
- Filter the Group Name column to show those options relating to Term Time Calcs
- Term Time Calculations are Enabled – this needs to be set to True for this to be turned on
- Term Time Calculations Source of Weeks in Year – the weeks in year value can either originate from System Settings or from Job and Pay, select as required
- Term Time Work Pattern Rates – a rate or multiple rates, separated by commas, can be entered here. These are used for employees on an hourly pay basis as the available work pattern rates
Term Scheme Code Table
- Go to the following area:
- Latest (left-hand) menu: Data Management > Code Tables
- Pre-2025 (top) menu: System > System Administration > Code Tables
- From the Job and Pay group choose Term Scheme

Note: In order to see this code table it is first necessary to give the user role access via:
Select the relevant role and then from Code Tables make the Term Scheme table write access. |
- In the code table click Insert New Record to create a Term Scheme
- On the Term Scheme Details tab enter a Term Scheme Code and a Description

Click Save Changes
- Click on the Term Scheme Details and on the tab labelled Term Scheme Year use the Add new record button to enter the year Start and End dates of the FULL year
- You can record multiple years for the scheme at the same time
- Click Save Changes after each record has been created
- A further button will then be available called Term Dates
- Within each Term Scheme Year you can then add Term Dates as required
